A Salesforce integration is only valuable when it genuinely takes work off your hands. Yet in practice, many connections deliver hardly any time savings, because they were built without a clear picture of the processes, the data flows and the management behind them. With the five steps in this article, you build integrations that truly automate your processes: from analysis and design through to monitoring and continuous improvement.

Why does not every integration deliver automation?

Because a technical connection is not yet an automated process. An integration that moves data but leaves errors unnoticed, requires manual checks or does not match the way people work merely shifts the work around. Automation only emerges when the connection is reliable, actively monitored and fits the process it supports.

Fragmented systems cost time, money and trust: duplicate entry, data that drifts apart and reports nobody trusts. The goal of a good integration is therefore not just to move data, but to bring your systems together around Salesforce as the central source of truth. The five steps below form the method we apply to every connection, whether it concerns a proven standard connector or fully custom development.

1. Analyse Your Processes and Data Landscape

First map out which systems you use, where which data lives and how that data flows through your organisation. Identify the bottlenecks: where is data entered twice, where do records drift apart, where are colleagues waiting on one another? Then define the desired end state, with Salesforce as the central source of truth.

This step seems obvious, but in practice it is often skipped. The result is a connection that works technically but solves the wrong problem. So take the time for questions such as:

  • Which departments work with which data, and in which system do they enter it?
  • Which manual steps currently cost the most time or cause the most errors?
  • Which reports need to be possible later, and which data do they require?
  • Which processes will change once the connection goes live?

2. Design the Architecture and Data Flows

Based on the analysis, you design the architecture. Decide whether to use direct API connections, middleware or a standard connector, and choose between real-time and batch processing per object. Establish the system of record for each data type: which system leads when records conflict?

At this stage, also plan the error handling, logging and monitoring straight away. A connection without logging is a black box: as long as everything goes well you notice nothing, but when an error occurs nobody knows where things went wrong. In addition, safeguard performance and security as your data volume grows, with encrypted connections and OAuth authentication as the baseline.

The key design decisions at a glance:

  • Direct connection, middleware or standard connector, depending on complexity and maintenance.
  • Real-time synchronisation where speed matters, scheduled processing where volume matters.
  • A documented system of record per data type, so conflicts are resolved predictably.
  • Error handling, logging and monitoring as part of the design, not as an afterthought.
  • One-way or two-way traffic per object, chosen deliberately rather than syncing everything in both directions by default.

3. Build and Test the Integration

Implement using proven integration patterns and apply consistent data models and field mapping between the systems. Validate that data transfers correctly and completely, including in edge cases: missing fields, deviating formats, records that exist in one system but not the other.

Always test with representative datasets before going live. A connection that works flawlessly with ten test records can behave very differently with thousands of real records containing real inconsistencies. It is precisely that real-world data that reveals where the mapping or the error handling still falls short.

Also involve the people who will work with the connection at this stage. They recognise better than anyone whether the synchronised data matches reality and whether the process feels logical. At the same time, document the mapping and the decisions made, so knowledge of the connection does not remain with a single person.

Good news for the lead time: this does not have to be a months-long project. Proven connections, for example with Exact Online, SharePoint or Stripe, are often live within a few weeks. 4. Monitor and Manage

An integration is never finished at the moment it goes live. Detect data errors proactively instead of waiting for a user to report them, and track queues, delays and performance. Make sure every synchronisation is logged, so that when a problem occurs you can quickly determine what went wrong and take targeted corrective action.

In addition, make clear agreements about incident handling: who spots an error, who resolves it and within what timeframe? Without those agreements, monitoring becomes a dashboard nobody looks at.

5. Keep Improving and Automating

Your organisation changes, and your integrations must move with it. Add data fields when new reporting needs arise, connect new systems after mergers or software changes, and automate the remaining manual steps one by one. At the same time, strengthen your data governance, so data quality stays high while the volume grows.

This phase ultimately determines the return on the investment. A connection that runs unchanged for three years while the business around it changes gradually becomes a source of manual work and exceptions again. So schedule a regular moment to hold the integration up against your current processes: what could now also be automated, and what has become redundant?

When Is It Time for an Integration?

It is time for an integration as soon as your employees are structurally doing work a system could take over. Think of frequent switching between applications, manually retyping data, or reports that only come together via Excel. The sooner you recognise those signals, the smaller the data quality backlog you will have to catch up on later.

If you recognise one or more of these situations, an integration is almost always worthwhile:

  • Employees constantly switch between systems to piece together a complete customer picture.
  • Data is copied manually from one system to another.
  • Reports depend on Excel files that someone compiles periodically.
  • There are recurring debates about which figures are actually correct.
  • There are concerns about GDPR compliance because personal data lives in multiple places.

What Should You Consider When Choosing Between Ready-Made and Custom?

Choose a ready-made connector when one exists for your systems and your process fits within it: it is proven, immediately deployable and live sooner. Choose custom development when your process is unique or a standard connector falls just short. In practice, the best solution is often a combination of both.
