How does file migration work?
12 November, 2025
When organizations switch to an integrated way of managing documents, the same question almost always arises: how do you move existing files from Salesforce to SharePoint without losing control, without duplicating everything, and without disrupting daily work? Migration may feel like a logistical operation, but in practice it is mainly a matter of setting up smart processes and controls.
The starting point is overview. Which files are located where in Salesforce? To which objects are they linked? And what does the desired structure in SharePoint look like? That foundation determines the quality of the migration. This is followed by a controlled transfer in which each file is automatically moved to the correct folder in SharePoint. At the same time, the link in Salesforce is retained so that users still have access to all documents from their familiar CRM environment.
It is important that this process can take place step by step. In many organizations, you don’t want to shift everything overnight. That’s why the migration is designed as a controlled flow: first testing on small datasets, checking that the folder structure is applied correctly, and only then migrating larger batches. This prevents surprises and ensures that teams can continue to work as usual.
The result is a seamless transition. Documents are not re-uploaded or manually mapped. They move, along with their relationship to accounts, opportunities, or cases, to an environment where collaboration and storage are scalable. And once the process is complete, you have a single logical place for document management, without duplicate storage costs.
In summary, the SharePoint module offers you:
- Structured and controlled migration
- Relationships with Salesforce objects are retained
- No duplicate storage or manual restructuring
- Teams can continue working without interruption
